Supplier booking
We place orders with your chosen factories and give each one our warehouse address and packing instructions.
Goods received
Every carton is checked against the packing list, photographed and labelled. Problems are caught here, not in Poland.
Inspection & packing
Optional AQL inspection, repacking to rail limits (2,500 kg / 6 pieces per shipment) and pallet measurement.
Export declaration
We file the export declaration, book the train and send you the waybill and loading photos before departure.
Delivery in Poland
16–18 days after departure the goods clear DDP and are delivered to your warehouse, 3PL or Amazon FBA.
Rail rules and limits worth knowing
- No built-in batteries. The train does not accept products with built-in lithium batteries. Magnetic products are accepted. Battery-powered goods must move by sea or air.
- Chargeable weight = the greater of total volumetric weight (L × W × H ÷ 6000) and total actual weight, with no volumetric splitting on rail lines.
- Courier-served shipments bill a minimum of 12 kg per piece; truck-served oversize shipments have no per-piece minimum.
- Consignee details must be complete — phone number and email. Delivery is booked by SMS or email; if the consignee does not reply, goods are delivered anyway.
- Own-VAT clearance (Greece, and other EU countries on request) requires a valid VAT number and EORI number from your side.
- Rate validity is 7 days on container pricing; space and freight follow the carrier's latest prices, so we re-confirm before booking.

Rail freight from China — common questions
How long does China–Europe rail freight take?
Our contracted rate card quotes pickup 16–18 days after the train departs for the standard block-train services, and 20–25 days after departure for the Xi'an express block train. To Poland that is roughly 3–4 weeks door-to-door including the truck leg to your address — about half the time of sea freight and a fraction of the cost of air freight.
How much does rail freight from China to Poland cost?
On the September 2026 rate card, door-to-door DDP rail rates to Poland run from RMB 14.9 per kg for shipments over 2,001 kg up to RMB 20.9–22.3 per kg at 51 kg, depending on the destination postcode group. Courier-served rail shipments run RMB 14.5/kg at 101–301 kg and RMB 16.5–17.5/kg at 21–31 kg. Prices include the train leg, delivery to your address and DDP duty and VAT — not a port-to-port rate.
What is the difference between rail freight and sea freight from China?
Rail is roughly twice as fast (16–18 days after departure vs 38–45 days) and costs about 30–50% more per kilo on small shipments. Sea freight wins on cost for anything above roughly 15 cubic metres or 1,000 kg; rail wins when you need stock in three weeks instead of six, or when a shipment is too heavy for air freight but too urgent for a container.
Which products can be shipped by rail?
General cargo, machinery, furniture, hardware, cabling, lighting and most consumer goods. Two restrictions from the rate card: the train does not accept products with built-in batteries (magnetic products are accepted), and the declared value matters if you need a separate export declaration. Batteries in a shipment must move by sea or air instead.
Do you consolidate orders from several suppliers before the train leaves?
Yes — that is where the cost saving usually comes from. We receive goods from each supplier at our warehouse, check them against the packing list and your inspection requirements, repack or palletise them into one shipment and book the train under one waybill. One shipment also means one cut-off date and one set of export documents instead of five.
Do you handle customs and the export declaration for rail shipments?
All China-side export clearance is included in our service. Where the factory cannot export on its own (a very common situation with small factories), we file a separate export declaration in our name — RMB 350 per shipment on rail, from 100 kg. On the Poland side, DDP shipments are cleared by our forwarder with duty and VAT included, or we can quote DAP/DDU so your consignee clears using their own VAT and broker.
When is the cut-off for the weekly train?
The rate card sets the cut-off at every Friday 18:00, and earlier if the container fills up. In practice we ask for goods to arrive at our warehouse by Thursday so that inspection, repacking and the export declaration are finished before the cut-off. If you miss it, the shipment boards the following week.
